  1. What personal information we collect from you

The personal data collected and used by us is mainly supplied by you, the service user, and will vary according to the reason contact was made.  The different types of personal information will vary depending on your status, for example whether you are a CBCP member, hiring or purchasing items or tickets, requesting information or on our publicity mailing list.  The information may include name, phone number, title, postal address, email address, information for publication (i.e. review).  In addition information from members may also include:  Membership subscriptions and dates paid, your photograph, your biography for production programmes, date of birth.

  1. What we do with the information we gather and why do we use it?

Access to personal information within CBCP is only given to those who strictly need to use it to provide the agreed services as detailed below or to send you information via our mailing list if you have subscribed.  Your personal information will not be disclosed to any third parties, unless we are required to do so by law.

Those who are on our publicity mailing list or those requesting information:

We will use your information to respond to your query or tell you about our forthcoming shows and events that are likely to be of interest to you.  This is called ‘Legitimate Interest’.  Those on our publicity mailing list have requested to join and given their consent. Those who are CBCP Members:

We will use your information to fulfil our obligations to you as a member – to send you newsletters, emails and letters to give you details relating to CBCP and their forthcoming productions and events.

Those who are CBCP Committee members:

Committee members’ name, address and date of birth are obtained in accordance with current legal charity regulations.

  1. Who might we share your data with

We will not sell your data to any third party.  We may disclose personal data to our insurers and/or professional advisers insofar as reasonably necessary for fulfilling the contract or maintaining insurance coverage, managing risks, obtaining professional advice, or the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure.

Members’ data

Your information will be shared with our committee members and CBCP production team members to facilitate productions and events.  Your name and possibly your photograph and biography may appear in our show publicity material, programmes and newsletters.  You will be aware that our show programmes are public documents and that our newsletters are shared amongst our membership.  This use is in our ‘Legitimate Interest’.

Name and contact information may also be shared with other members via a membership list if consent is given by the member concerned.  This consent can be withdrawn at any time by emailing

Information relating to Committee members as detailed in section 2 are sent to the Charities Commission when lodging our Annual Report in accordance with current legal regulations.

Transactional data:  Ticket sales, sales and hire of goods

Financial transactions relating to our ticket sales and online stores may be handled by our services providers Paypal and Ticketsource.  We will share transaction data with our payment services providers only to the extent necessary for the purposes of processing your payments, refunding such payments and dealing with complaints and queries relating to such payments and refunds:

There may be some circumstances where your personal data may be transferred to third-party hosting services in countries outside the European Economic Area (EEA) but will be protected by appropriate safeguards.  For example, transfers to USA will be protected by EU-US Privacy Shield Framework and the Swiss-US Privacy Shield.  You acknowledge that personal data that you submit for publication may be available, via the internet, around the world.  We cannot prevent the use (or misuse) of such personal data by others.

  1. How long will we keep your information for?

CBCP will retain your information for the length of time necessary for us to provide you with the agreed services or request.

Records held for publicity mailings will be reviewed every two years. Consent can be withdrawn at any time.

Members personal information will be retained by CBCP during membership and until the AGM following expiration of their membership – unless written consent is given by the members concerned to retain their information indefinitely.  Consent can be withdrawn at any time.

Information relating to financial transactions will be kept for 7 years where such retention is necessary.

Our website may contain links to other websites – for example to a Box Office website.  Once you have used these links to leave our site, you should note that we do not have any control over the other website.  Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy policy.
